Our client, a leading sustainability-focused utility company, confronted a complex onboarding process that was time-consuming and challenging to manage. Given the varied roles and departments within the company, each new employee required a unique checklist, different equipment, and software licensing provisions. A prerequisite task list and Microsoft 365 account setup had to be completed even before the onboarding process could begin. With these tasks being managed by different individuals across multiple departments, the process could stretch to 3-4 weeks, thereby delaying the new employee's productive contribution. The client required a solution that could seamlessly integrate with their existing Microsoft 365 setup, streamline their onboarding process, and significantly reduce the time to productivity for each new hire.
In response to the challenge, we developed a custom solution using Microsoft PowerApps and Power Automate. This application was designed to define global, departmental, and job-specific checklists, equipment requirements, and software licenses tailored to specific job roles and departments. With automated task creation for new hires and real-time alerts on task progression through Microsoft Teams, the new application smoothly guided the onboarding process from start to finish. For the new hires, a personal page was created showing only the tasks they needed to perform.
